The Accommodation Coordinator for FIRST Robotics Competition gathers accessibility accommodation requests from mentors, families, volunteers, and spectators and works with the Program Delivery Partner, Planning Committee, and other volunteers to provide accommodation at events. The goal of the role is to ensure people with disabilities are provided reasonable and respectful accommodations to fully participate in and enjoy FIRST events. This role requires pre-event coordination.

Responsibilities

  • Complete FIRST’s Data Privacy and Protection training
  • Maintain confidentiality of personal information in compliance with the FIRST Privacy Policy
  • Follow all protocols regarding data privacy and protection
  • Liaise with Program Delivery Partner, Event Planning Committee, and event volunteers
  • Review all accommodation requests made through registration forms or email
  • Gather additional information regarding accommodation requests as needed
  • Coordinate accommodation plans with impacted individuals and event staff or volunteers as applicable
  • Seek additional resources or guidance if needed to implement or fund accommodations as needed (FIRST Access Team, Program Delivery Partner, Event Planning Team, local or national experts)
  • Secure service providers (ex: sign language interpreters)
  • Serve as the point of contact (POC) regarding questions or concerns related to event accessibility
  • Create or identify a resource of accessible restaurants, lodging, and transportation options in the community surrounding the event (if relevant)
  • Collaborate with the Safety Manager to ensure that safety protocols include people with disabilities (ex: mobility issues, vision, and hearing deficits)
  • Provide on-site support at event(s) if accommodation requests, questions, or concerns occur
  • Provide recommendations to improve accessibility to Event Planning Committee, if relevant
  • Track non-personal identifiable information (PII) accommodation request data and share with FIRST Access Team after the event
  • Volunteers should only congregate around the scoring table or playing field as is necessary to fulfill the duties of their volunteer position
  • No one in official event apparel (volunteer shirt or FIRST/Partner staff clothing) around the playing field should be openly cheering for one team

Experience and Skills Needed

  • FIRST experience is required
  • Minimum age: 21
    • Exceptions may be granted by event Volunteer Coordinators after review and approval by the local Program Delivery Partner

  • Ability to work and interact with volunteers, team members, spectators, contracted staff and FIRST staff

Volunteer Time Commitment

  • Training: approximately 2 hours
  • Preparation/Review of materials: 5-10 hours
  • Time required is going to be dependent on the number and complexity of accommodation requests

Note: Event schedules vary. Please check the event schedule and talk to your Volunteer Coordinator for detailed information on when you are expected to arrive. Volunteers should arrive on site 15-20 minutes prior to the start of every shift to allow time to check in at the Volunteer Registration table.

Training

Pre-event certification provided by FIRST prior to the start of competition season. 

Reporting Relationships and Supervision

  • The Program Delivery Partner will decide the reporting relationship and supervision
